Instructions for Filling Teacher & Staff Templates

  1. Download the Teacher or Staff Template and open it in a spreadsheet program such as Excel.

  2. The first row contains headings to identify each column. Do not modify this row otherwise the upload will not work.

  3. The second row contains a record that you can use as an example, which you can remove before uploading.

  4. Employee Columns

  • Contact details - enter name and contact details according to column titles.

  • Wage Method - Enter "Service List Wage" or "Employee Wage".

  • Employee Hourly Wage - If Wage Method is set to "Employee Wage" enter the employee's hourly wage in this field.

  • Wage Tier Name - If you've 1) enabled and added wage tiers in your account, and 2) the employee's Wage Method is set to "Service List Wage", then you can enter the name of their Wage tier in this field. Make sure that the name matches the name in your wage tiers list.

  • Hire & Birth Dates - enter in "YYYY-MM-DD" format. For example, January 1, 2014 would be entered as 2014-01-01.

  • Position - Use this field to enter a position that is possibly more specific than teacher or staff.

  • Include As Teacher - This field is only on the Staff Import template. Set to "On" to include the employee in teacher lists. Leave blank or enter "Off" to exclude from teacher lists.

  • Subjects - comma separated list of subjects taken by the student. If your account uses Standard Subjects, the subjects must match the ones in your list in order to be imported.

  • Notes - enter any additional notes about the employee.

  • Status - enter Active, Inactive or Prospective

  • Event Reminders - Set this to "On" to send event reminder emails to the student. Leave blank or set to "Off" to disable.

  1. Staff Permission Columns

    • Permission Teachers - "Off", "View", or "Manage"

    • Permission Staff - "Off", or "View"

    • Permission Customers - "Off", "View", or "Manage".

    • Permission Students - "Off", "View", or "Manage".

    • Permission Price List - "Off", "View", or "Manage".

    • Permission Locations - "Off", "View", or "Manage".

    • Permission Events - "Off", "View", "Complete" or "Manage".  The "Complete" setting allows teachers to view and complete lessons (ie. take attendance, enter lesson notes, etc.).  "Manage" allows them to add and edit lessons.

    • Permission Calendar Cost - "Off", "View" either hides or displays the lesson cost on the calendar. "Manage" allows the employee to change the lesson cost when completing lessons.

    • Permission Calendar Wage - "Off", "View" hides or displays the lesson wage on the calendar. "Manage" allows the employee to edit the lesson wage when completing lessons

    • Permission Billing - "Off", "View", or "Manage". Applies to customer balances, payments, invoices.

    • Permission Payroll - "Off", "View", or "Manage". Applies to employee hours and wage payments.

    • Permission Reports - "Off" or "View".

    • Permission Settings - "Off" or "Manage". This controls the employee's ability to access or edit your Account Settings.

    • Permission Send Notes - "Off" or "On". Enables or disables employee's ability to check the box to send notes when completing a lesson.

  2. Teacher Permission Columns

  • Permission Events - Enter "View" or "Manage". This determines whether or not the teacher can schedule events.

  • Permission Other Teacher Events - Enter "Of" or "View". This determines whether or not the teacher can view other teachers' lessons.

  • Permission Calendar Cost - Enter "Off", "View" or "Manage". "Off" and "View" will hide or show the lesson cost on the calendar respectively. Manage will allow the teacher to adjust the lesson cost when completing a lesson.

  • Permission Student Contact Info - Enter "Off" or "View" to hide or show student and parent contact information in the teacher's account.

  • Permission Event Duration - Enter "View" to allow the teacher to only view a lesson's duration when completing a lesson, or "Manage" to allow the teacher to change the start and end time of the lesson.

  • Permission Send Notes - Enter "On" or "Off" to enable or disable a teacher's ability to check the box to send shared lesson notes when completing a lesson.

  1. Complete a couple rows and try uploading the file to make sure that your formatting is correct.

  2. Once you've confirmed that you are filling out the template correctly, you can add the rest of you records and upload the file.
